Follow new updates and improvements to Planyard.

Release 4.39.15

This release brings significant improvements to how you manage project documents and company settings, including a streamlined workflow for cost and income approvals, enhanced email domain verification, and flexible terms and conditions templates for subcontracts and purchase orders.

Company settings

Easier troubleshooting for company email domains

Admin users can now more easily troubleshoot and repair issues with company email domain verification directly within the admin panel. The system now highlights mismatches in DNS records, making it simpler to spot typos. For domains that get stuck in a PENDING or FAILED state despite correct records, a new “Repair setup” or “Retry verification” button allows administrators to complete missing configurations or restart checks without needing developer intervention.

Invoice inbox

Improved workflow for cost and income approvals

When processing uploaded invoices and income documents, users will now be redirected to the project’s file list immediately after submitting a cost or income. This change streamlines the workflow for handling multiple documents, allowing you to quickly move to the next file without navigating back manually. A confirmation message is now also shown for all cost and income types after submission.

Projects

Create project form retains input

The “Create project” form will no longer clear its input when you switch browser tabs or when background refreshes occur. This ensures that any information you’ve entered remains in the form, preventing loss of work, especially when setting up your first project.

Purchase orders

Flexible terms and conditions templates

You can now create and manage multiple named templates for terms and conditions specifically for purchase orders under Company-wide features. This allows you to use different sets of terms for various types of orders (e.g., material orders vs. service orders). When creating a new purchase order, you can select the appropriate template from a dropdown. The chosen terms are now saved with the purchase order, ensuring that the PDF and summary always reflect the terms agreed upon at the time of creation, even if templates are later edited or deleted.

Subcontractor orders

Flexible terms and conditions templates

You can now create and manage multiple named templates for terms and conditions specifically for subcontracts under Company-wide features. This allows you to use different sets of terms for various types of agreements (e.g., roofing contracts vs. concrete works). When creating a new subcontract, you can select the appropriate template from a dropdown. The chosen terms are now saved with the subcontract, ensuring that the PDF and summary always reflect the terms agreed upon at the time of creation, even if templates are later edited or deleted. A new company setting, “Hide contract-specific terms,” also allows you to remove the free-text contract-specific terms field from subcontract creation if you prefer to rely solely on templates.

Release 4.39.14

This release introduces new capabilities for delivering Peppol invoices directly to customer APIs and enhances Oceania claim cover letters with more comprehensive financial summaries.

Integrations

Direct Peppol invoice delivery to customer APIs

We’ve introduced a new capability for select customers to deliver Peppol XML invoices directly to their ERP systems via API, rather than solely as email attachments.
This integration allows for:

  • Direct System-to-System Delivery: Invoices (costs, credit notes, and contract invoices) can now be sent straight to a customer’s API as Peppol XML.
  • Automated Process: Delivery occurs automatically once a document is created or its approval workflow is completed.
  • Enhanced Security: Planyard authenticates with the customer’s system using a certificate issued by the customer, in addition to an API key, with all credentials securely encrypted.
  • Reliable Delivery: If delivery fails, Planyard automatically retries for several hours, and the user receives an email notification with any error messages from the customer’s system.

Valuations

Enhanced Oceania claim cover letters

The Oceania template for main contract and subcontract progress claims has been significantly improved to provide a more complete financial overview.
Key enhancements include:

  • New “Total Claimed” Column: The Claim Summary now features a “Total Claimed” column alongside “This Claim,” displaying cumulative figures for work done, variations, retention, released retention, VAT, and prepayments across all approved claims on the contract.
  • Retention Percentage Display: For percentage-based retention, the cover letter now clearly shows the applicable percentage (e.g., “Less Retention: 5.00%”).
  • Optimized Page Layout: The default template no longer leaves a mostly blank first page, ensuring a more efficient and professional document presentation.

Release 4.39.13

This release introduces new capabilities for sending subcontractor orders via email with attachment selection and allows for custom accounts payable email addresses for companies. It also includes several internal improvements to our development and deployment processes.

Company settings

Custom accounts payable email addresses

Companies can now set custom, easy-to-remember accounts payable email addresses (e.g., invoices-acme@companies.planyard.com). This allows for better branding and organization, including the ability to set up separate addresses for subsidiaries (e.g., acme+north@...). All previous addresses will continue to work, ensuring no invoices are lost.

This feature is managed by Planyard staff and will be revised in a future release for more customisation

Subcontractor orders

Send subcontractor orders by email with attachment selection

You can now directly send subcontractor orders via email from within Planyard. This new workflow allows you to:

  • Automatically include the subcontractor order PDF.
  • Select additional supporting files as attachments.
  • Choose recipients from assigned contacts, project colleagues, or custom email addresses.
  • Track all sent email activity in the subcontract notes.
  • The system ensures emails are only sent after required approvals are complete.
