Creating a client contract allows you to track project income in more detail. It enables upstream retention tracking, supports valuations and variations, and lets you link budget items directly—streamlining processes that are often done in spreadsheets.
Steps
- Log in to Planyard and go to Projects.
- Open the relevant project.
- From the project menu, click Client Contract, then click Create Client Contract.
- Enter a document name for the contract.
- Select the client company from the dropdown.
- If the company isn’t listed, click Add New Company and enter the following:
- Company name (required)
- Address (optional)
- Supplier code (optional)
- VAT number (optional)
- If the company isn’t listed, click Add New Company and enter the following:
- Choose how to track retention (if applicable):
- Add Contract Retainage:
- Enter a name and a percentage-based scheme.
- The system will automatically deduct this retention from each client invoice or valuation.
- Manually Book Retention:
- Enter a name.
- You’ll book the retention manually for each invoice or valuation.
- Add Contract Retainage:
- Use the File Manager on the right to upload any related documents (e.g. contracts, drawings, designs).
- At the bottom, link budget items to the contract:
- Click Select in Bulk to view your full budget.
- Tick the relevant items to include in the contract.
- Default values are pulled from the Submitted to Client column in your budget.
- Click Submit to create the contract.
